Booking & Event Policies
At VicksElegantDesigns LLC, we are committed to providing a professional, organized, and beautifully executed experience from the initial inquiry through event day. Please review the following policies before booking. These guidelines help ensure clear expectations and protect both our clients and our company throughout the planning and design process.
Booking & Retainer
A 50% non-refundable retainer is required to officially reserve your event date.
Submitting an inquiry, receiving a quote or proposal, discussing an event, or receiving preliminary design information does not reserve your date. Your event is considered officially booked only after the required retainer has been successfully received.
**Event dates are booked on a first-paid, first-reserved basis.
Payments & Final Balance
VicksElegantDesigns LLC accepts:
Major credit and debit cards (Except AMEX)
Apple Pay
Zelle
Cash App
Venmo
Cash
Afterpay for eligible purchases
Payment instructions will be provided through your invoice or directly by VicksElegantDesigns LLC.
Unless otherwise stated on your invoice or agreement, all remaining balances must be paid in full (14) days prior to event installation or delivery.
Failure to submit the final balance by the required deadline may result in cancellation of services.
Afterpay
Afterpay is available for eligible purchases and qualifying clients.
Approval, eligibility, and payment schedules are determined by Afterpay and are subject to its applicable terms and conditions.
Regardless of the payment method selected, all VicksElegantDesigns LLC booking requirements and payment deadlines remain applicable.
Design Process & Mockups
Custom design mockups are generally provided within 7 days after the required retainer has been received.
Mockups are intended to provide a visual representation of the overall design concept. Final installations may vary slightly in color, scale, placement, or appearance due to venue conditions, product availability, lighting, and the natural characteristics of décor materials.
Design Changes & Customizations
We understand that event details may evolve. Reasonable design changes may be requested within the established planning timeframe.
Changes that increase the quantity of décor, materials, customization, rentals, labor, installation requirements, or overall scope of the original agreement may result in additional charges.
All additional charges must be approved and paid before the requested changes are completed.
Last-minute changes are subject to availability and cannot be guaranteed.
Custom & Personalized Items
Custom signage, vinyl, printed backdrops, personalized items, specialty products, and other made-to-order materials may enter production well in advance of your event.
Once production or purchasing has begun, these items cannot be cancelled, exchanged, or refunded.
Clients are responsible for carefully reviewing and approving names, dates, spelling, wording, colors, and other personalized information before production.
Cancellations & Refunds
All retainers are non-refundable.
The retainer reserves your event date and allows the design, planning, purchasing, customization, and preparation process to begin.
If the client cancels an event, additional payments already made may also be non-refundable when funds have been applied toward custom products, materials, rentals, design work, or other event-related expenses.
Rescheduling
We understand that unexpected circumstances may arise.
Requests to reschedule will be reviewed based on availability and are not guaranteed.
Payments may be transferred to an approved new event date at the discretion of VicksElegantDesigns LLC. Additional charges may apply when materials have already been purchased, custom products have been produced, or the revised event requires changes to the original design.
Delivery, Setup & Venue Access
Clients are responsible for ensuring VicksElegantDesigns LLC has appropriate and timely access to the venue for delivery, setup, installation, and breakdown.
All venue requirements must be disclosed before the event, including loading and unloading restrictions, parking requirements or fees, stairs or limited elevator access, security procedures, setup and breakdown times, Certificate of Insurance requirements, and restrictions involving balloons, adhesives, hanging décor, or other installations.
Unexpected venue conditions that substantially increase labor, installation time, parking expenses, or other costs may result in additional fees.
Our Balloon Quality
At VicksElegantDesigns LLC, quality matters. We use high-quality, professional-grade balloons for our balloon décor and installations.
Our materials are selected with careful consideration for appearance, durability, color, and overall design quality. We take pride in using products that support the elevated standard we aim to provide for every event.
However, balloons are naturally delicate and are affected by their surrounding environment. Even professional-grade balloons may pop, deflate, oxidize, shrink, or change in appearance due to conditions outside of our control.
Balloon Care & Longevity
To help preserve the appearance of your balloon décor, installations should be kept away from excessive heat, direct sunlight, sharp objects, rough surfaces, extreme temperature changes, and unnecessary handling whenever possible.
Once an installation has been completed, VicksElegantDesigns LLC cannot guarantee the condition or longevity of balloons when deterioration or damage results from environmental conditions, venue conditions, guests, other vendors, or circumstances outside of our control.
Outdoor Events & Weather
Outdoor balloon and décor installations are subject to environmental conditions including heat, direct sunlight, wind, rain, humidity, cold temperatures, and changing weather.
While VicksElegantDesigns LLC uses high-quality materials and professional installation techniques, no outdoor balloon installation can be guaranteed to remain in its original condition for the duration of an event.
If weather or environmental conditions create a safety concern or make the original installation unreasonable, VicksElegantDesigns LLC reserves the right to modify the placement or design when necessary for safety.
Rental Items & Client Responsibility
Backdrops, arches, stands, frames, props, pedestals, display structures, specialty equipment, and other designated rental items remain the sole property of VicksElegantDesigns LLC unless otherwise stated in writing.
Once rental items have been delivered and/or professionally installed, they are expected to remain in their designated location until VicksElegantDesigns LLC returns for breakdown or pickup.
Rental items may not be moved, dismantled, altered, climbed on, sat on, stood on, removed from the venue, discarded, or used for a purpose other than their intended function without prior authorization from VicksElegantDesigns LLC.
The client is responsible for exercising reasonable care of all rental items while they are present at the event and for ensuring that guests, children, venue staff, and other vendors do not misuse or improperly handle the equipment.
Damage, Loss & Replacement of Rental Items
The client may be financially responsible for rental items that are:
Lost
Stolen
Broken
Damaged
Improperly moved or handled
Removed from the venue
Discarded
Altered without authorization
Unavailable at the scheduled pickup or breakdown time
When damage or loss occurs while rental items are under the client's care, the client may be charged for the reasonable cost of repair or replacement, depending on the extent of the damage.
Normal wear resulting from proper and intended use is excluded.
Any concerns regarding a rental item should be reported to VicksElegantDesigns LLC as soon as possible.
Rental Equipment Safety & Liability
For the safety of everyone attending the event, guests—especially children—should not climb, hang from, sit on, pull, push, or play with backdrops, stands, frames, arches, props, pedestals, balloon structures, or other rental equipment.
Once décor has been professionally installed, clients, guests, venue employees, and other vendors should not relocate or alter the installation without authorization.
VicksElegantDesigns LLC is not responsible for damage, instability, deterioration, or injury resulting from unauthorized movement, alteration, misuse, tampering, or improper handling of décor or rental equipment after installation.
This policy does not limit responsibility that cannot legally be excluded or limited.
Client-Provided Items
Any balloons, décor, signage, props, or other materials supplied by the client must be discussed and approved before the event.
VicksElegantDesigns LLC cannot guarantee the quality, durability, compatibility, or performance of products purchased from outside sources and is not responsible for defects or failures associated with client-provided materials.
Additional installation or labor fees may apply.
Event-Day Changes
Once installation has begun, significant changes to the approved design may not be possible.
Event-day additions or modifications are subject to available materials, time, staffing, and feasibility and may result in additional charges.
Photography & Portfolio Use
VicksElegantDesigns LLC may photograph or record completed décor installations for use in our professional portfolio, website, advertising, and social media.
Our primary purpose is to document and showcase our décor and design work.
Clients with specific privacy or photography restrictions should notify VicksElegantDesigns LLC in writing before the event.
Acceptance of Policies
By submitting the required retainer and proceeding with a booking, the client acknowledges that they have reviewed and agree to the applicable VicksElegantDesigns LLC Booking & Event Policies, along with the terms outlined in their individual invoice, proposal, or service agreement.
Event-specific agreements, invoices, and proposals may contain additional terms based on the services being provided.

Messaging Terms & Conditions
The VicksElegantDesigns LLC messaging program consists of general conversational, informational, and marketing communications. Messages may include responses to customer inquiries, quotes, invoices, booking confirmations, appointment or event reminders, payment reminders, service updates, customer support communications, promotions, and special offers.
Message frequency varies depending on your interactions with VicksElegantDesigns LLC.
Message and data rates may apply according to your mobile carrier and service plan.
You may opt out of SMS communications at any time by replying STOP or CANCEL to a message. After opting out, you will no longer receive SMS messages unless you subsequently opt in again.
